Achieving Multi-Platform Revenue Reconciliation for a Global Tour & Hospitality Group

A fast-growing, multi-city tour operator managing bookings across eight platforms and five cities on two continents found itself in a critical accounting crisis. With 16 deep-rooted financial issues, ranging from unreconciled bank accounts and negative credit card balances to mis-posted expenses and mixed personal and business transactions, the company’s books had become a barrier to growth rather than an enabler of it. GATP Solutions partnered with the client to design and execute a structured, four-phase bookkeeping cleanup. By implementing a standardized multi-platform revenue reconciliation framework and accrual-based accounting, the brand transformed financial chaos into investor-ready visibility in just 90 days.

BUSINESS BACKGROUND

The client is a growing hospitality company that designs and operates curated tours and experiences across five major cities spanning two continents. With a business model spanning the US and Europe, multi-platform revenue reconciliation flows through a fragmented ecosystem of over eight booking platforms, including Xola, GetYourGuide, Viator, Airbnb Experiences, Square, and Booking.com. As sales volumes surged, the complexity of managing disparate payout cycles and commission structures outpaced their internal accounting capacity. The brand reached a tipping point where financial data was scattered across platform reports and bank settlements, making it impossible to determine true daily profitability.

KEY CHALLENGES

A deep-dive diagnostic by GATP uncovered critical structural issues that threatened the group’s scalability:

  • Platform Fragmentation: Inconsistent tracking of multi-platform revenue reconciliation across Xola, GetYourGuide, and Square, leading to significant mismatches between recorded sales and bank deposits.
  • Reconciliation Backlog: Bank transactions were unposted for nearly a year, with multiple credit cards displaying “impossible” negative balances.
  • Liability & Payroll Confusion: Complex loan interest and multi-city payroll were improperly tracked, creating an unclear picture of total debt and labor costs.
  • Inaccurate Data Entry: A $146K negative balance in advertising due to posting errors, combined with missing depreciation and co-mingled personal/business expenses.
  • Blind Financial Growth: Without “Class-wise” reporting, management lacked visibility into which specific cities were driving profit versus those losing money.

Impact

  • Decision-making was compromised: Management lacked accurate data on profitability per location, platform performance, or overall cash flow.
  • Investor and lender readiness was zero: Negative equity and unreconciled accounts would immediately disqualify the company from any financing.
  • Tax and compliance exposure: Unreconciled contractor payments put the company at risk of missed or incorrect 1099 filings.
  • Operational blind spots: Without class-wise P&L reporting by location, the company could not identify which markets were profitable and which were draining resources.
  • Scaling risk: Expanding into international markets (UK, Amsterdam, France) with a broken accounting foundation would compound every existing problem.

REQUIREMENTS & EXPECTATIONS

When the client’s CFO engaged GATP Solutions, the engagement objectives were clear:

  • A complete cleanup of all 2025 books – identifying, diagnosing, and resolving every material accounting issue.
  • Standardized multi-platform revenue reconciliation across all eight booking channels with different payout cycles and commission structures.
  • Accurate accrual-based accounting to match multi-platform revenue reconciliation and expenses to the correct reporting periods.
  • A clean, duplicate-free Chart of Accounts with transactions correctly mapped to sub-accounts.
  • Timely 1099-NEC filings for all contractors.
  • Monthly financial statements – Profit & Loss and Balance Sheet, with class-wise reporting by location.
  • A scalable accounting infrastructure capable of supporting international expansion.

STRATEGIC APPROACH

We adopted a four-phase transition to move the client from “Cleanup” to “Strategic Growth”:

  • Map & Design: Detailed onboarding to map every sales channel’s payout cycle and commission structure.
  • Backlog Resolution: Reconciled 2025 transactions for the full year, reclassifying thousands of entries and correcting the Chart of Accounts.
  • Process Integration: Established automated flows for payroll posting and invoice capture using tools like Dext and Expensify.
  • Operational Stability: Standardized monthly “Class-wise” reporting to provide visibility into each city’s performance.

COMPREHENSIVE SOLUTION

A. Multi-Platform Revenue Reconciliation

GATP implemented an accrual-based workflow. Gross booking values are now recorded at the time of purchase as Unearned Revenue. We perform monthly matching of platform receipts (Xola/Square) against actual bank deposits, ensuring every dollar and commission fee is accounted for.

B. Structural Accounting Cleanup

We overhauled the Chart of Accounts, eliminating duplicates and properly nesting sub-accounts. Depreciation and loan interest were booked consistently, successfully correcting the negative equity balance on the Balance Sheet.

C. Managerial Oversight & Advisory

Beyond the technical cleanup, GATP introduced Monthly Zoom Financial Reviews. These sessions walk the executive team through their P&L and Balance Sheet, highlighting trends, cost-saving opportunities, and location-specific ROI.

MEASURABLE RESULTS

Quantitative Outcomes

  • 16 critical accounting issues identified and systematically resolved within 90 days.

  • 8 booking platforms reconciled under a single, standardized multi-platform revenue reconciliation workflow.
  • 15 contractor 1099-NECs filed on time with zero compliance gaps.
  • $146K negative advertising expense balance corrected and reclassified.
  • Negative equity balance corrected and balance sheet restored to an accurate, investor-ready state.

Qualitative Improvements

  • Real-time financial visibility across all locations, platforms, and multi-platform revenue reconciliation streams.

  • Monthly Zoom-based financial review sessions providing management with decision-ready insights.
  • A scalable accounting infrastructure ready to support ongoing international expansion.

Client Impact

What began as a crisis cleanup has evolved into a strategic partnership. The group now operates with investor-ready books, enabling them to confidently evaluate international VAT requirements and payroll transitions. With real-time financial insights, the “financial chaos” of the past has been replaced by a scalable foundation for global growth.
